How to Send Weekly Status Reports With AI

A weekly calendar leading to a concise report folder of abstract charts and completed-task cards, an outgoing envelope and small clock beside the prepared status update.

The steps below are taken from each vendor’s help pages. We have not run them.

To send weekly status reports with AI, let your project tool draft what got done, what’s next and what’s stuck from the tasks themselves, then post it yourself or on a schedule. Asana and monday.com draft it for you to post; Notion can write and send on a schedule.

A weekly status report has three parts: what got done, what’s next, and what’s stuck. If your work already lives in a project tool, AI can draft all three. The question is how much of the “every Friday” part you want automated:

This guide covers Asana, monday.com and Notion, the three with the clearest documentation for this job. If you would rather have one assistant write a recurring report across tools, OpenAssistant (made by 3Gen, which publishes this site) lists “Prepare a weekly report every Friday” among its recurring workflows and connects to Asana, monday.com and Notion. (OpenAssistant, OpenAssistant)

Before you start

Option 1: Asana (AI drafts the status update)

Who can use it

Smart status for projects is listed for Asana’s Starter, Advanced, Enterprise and Enterprise+ tiers. (Asana) An admin enables Asana AI in the admin console. (Asana)

Steps

  1. Open the project’s Overview tab and choose the current status on the right to start a new update. You can also start from the dropdown next to the project name.
  2. Click the AI draft button. Asana’s pages label it Draft with AI in one place and Draft update with AI in another.
  3. Select the project status and the date range the update should cover, for example the last 7 days.
  4. Click + Add guidance and paste your format. Asana says that if you format section names as headers, its AI uses them as the structure.
  5. Click Draft update. Asana notifies you when the draft is ready.
  6. Click Edit draft to put it in the editor, fix anything wrong, and click Post.

(Asana)

You must pick a status (such as On track or At risk) before you can post. Anyone added as a collaborator on a status update can see the whole update, even without access to the project. (Asana)

Making it weekly

Asana already sends each project owner a task every Thursday to update status by Friday. That’s a reminder, not an automatic report. You can switch it off with Remind me to update the status every Friday in the Status update view. (Asana)

To have AI produce the report on its own, Asana documents assigning a recurring task to an AI Teammate, an add-on for Starter, Advanced, Enterprise and Enterprise+, and names “weekly status reports” as a good use. You review its reply in the task and approve or ask for changes. Setting up an AI Teammate isn’t covered here; Asana’s page links its own guide to creating one. (Asana)

Option 2: monday.com (free AI summaries, scheduled agent reports)

Turn AI on

An admin goes to their profile image, Administration, Customization, Features, scrolls to Enable or disable AI features, and switches it on. monday.com uses one pool of AI credits at $0.01 each, but the AI Updates assistant uses no credits. (monday.com, monday.com)

Write the update with AI

  1. In an item’s Updates section, click in the text box and click the AI writing tools icon, then Write with AI.
  2. Describe the update you want. Write with AI writes from what you type, not from your board’s tasks; for a board-aware report, use an agent (below). Choose Insert as draft to review it first.
  3. To summarize a long thread instead, click the AI icon at the top right of an update and pick Summarize entire thread.
  4. To post later, click the arrow next to Update and choose a time, or Custom Time. This schedules one post, not a repeating one.

Make it weekly with an AI agent

monday.com’s AI Agents can run a “Job” on a daily, weekly or monthly schedule. monday says agents are available on its AI platform, with all products “coming soon,” and each run uses credits. (monday.com, monday.com)

  1. Click AI Agents in the left navigation, then + New agent. Describe it, or pick a template such as Project management.
  2. Name it and click Onboard. The agent goes live as soon as you onboard it, so to finish setting it up first, use its three-dot menu and Pause agent, then Go live when ready.
  3. On the Profile tab, under Knowledge and access, give it read-only access to the boards it reports on. Private boards have to be added one by one.
  4. Under Tools, add where the report goes, such as Gmail, Outlook, Slack or Microsoft Teams, by describing what you need in the agent chat. Tools that write or send start inactive until you review and turn them on.
  5. On the Jobs tab, create a Job with your report instructions and set it to run weekly.

(monday.com)

Option 3: Notion (a report page that writes itself)

Who can use it

Custom Agents need Notion’s Business or Enterprise plan. (Notion) Notion’s pricing page says they’re free to try, then $10 per 1,000 monthly Notion credits. (Notion pricing)

No-AI starting point: a repeating report page

  1. In your status database (create one first if you don’t have it), open the dropdown next to New and select + New template. Add your headings.
  2. In the same dropdown, select ••• next to the template, open the dropdown next to Repeat, and choose weekly, with a day and time.

A blank report page appears every week for someone to fill in. (Notion)

The AI version: a Custom Agent on a schedule

  1. In the sidebar’s Agents section, click + New agent, then Create with AI chat, Create from a template, or Create blank. Describe the report: done, planned, risks, and a table of active projects. (Notion, Notion)
  2. Open the agent’s Settings, go to Triggers, add a Recurring trigger, pick the frequency and a time with time zone, and save.
  3. Under Tools and access, add your project database. Notion says view access is usually enough, and that linking a page in the instructions doesn’t grant access to it.
  4. Optionally connect Slack to post the report to a channel. A Slack admin has to connect the workspace to Notion first.
  5. Notion’s Run button lets you run the agent before the schedule starts. Check past runs in the Activity tab.

(Notion, Notion)

Notion says agents never get full workspace access by default; they only act on what you grant. (Notion)

Which one to use

Asana monday.com Notion
AI drafts the update Yes, Smart status From your prompt (Write with AI, no credits); board-aware drafting needs an agent Yes, via Custom Agent
Runs weekly by itself With AI Teammates add-on With an AI agent Job (credits) With a Custom Agent recurring trigger
Posts to email or Slack Not stated Gmail, Outlook, Slack, Teams via agent tools Slack
Plan needed Starter or above for Smart status Admin-enabled AI; agents rolling out Business or Enterprise
You review before it goes out Yes, Edit draft then Post Yes with Insert as draft; agents can send once tools are on Yes if you keep it to a draft page

(Sources linked above)

If your team already uses one of these tools, use its built-in option; the AI is only as good as the tasks it reads, and moving tools to get a report is rarely worth it. For a draft you edit and post yourself, Asana’s Smart status has the clearest steps. For a report that writes and sends itself, Notion’s Custom Agent is the most fully documented path, if you’re on Business or Enterprise.

Check it yourself

This section is advice for you. We have not run these checks.

Before you let any scheduled report go to your boss, run it by hand for two weeks and compare it to what you’d have written:

  1. Is everything it says was done actually done?
  2. Did it miss anything important?
  3. Did it invent anything?
  4. Would you send it unedited?

FAQ

Can AI write my weekly status report?

Yes. Asana’s Smart status drafts a project update for you to edit and post, monday.com’s AI tools can write or summarize an update, and Notion’s Custom Agents can write a report on a recurring schedule.

Which option posts the report automatically?

Asana does it with an AI Teammate on a recurring task, monday.com with an AI agent Job on a weekly schedule, and Notion with a Custom Agent’s recurring trigger. Each needs a paid add-on or plan.

What does the AI read to write it?

The tasks in the tool. If tasks are not updated, the report will not be either. monday.com’s Write with AI writes from what you type, not from your board, so use an agent for a board-aware report.

Do I need admin approval?

In Asana and monday.com, AI features are switched on for the whole company by an admin.

What does it cost?

Notion Custom Agents need the Business or Enterprise plan and are free to try, then $10 per 1,000 monthly Notion credits. monday.com uses AI credits at $0.01 each, but the AI Updates assistant uses no credits. Asana AI Teammates is a paid add-on.
